How does rights management work ?

With the Pro Plan, you have the ability to grant restricted rights to certain members or teams within your organization.


Let’s explore what’s possible with a concrete example:


  • You are a company with 3 offices: one in Paris, one in Bordeaux, and one in Lille.
  • You therefore have 3 companies on the Dashboard (they share some common information but each has a different postal address), and you want to give editing rights to certain members on each entity.
  • One team manages Paris and the Paris profiles, another manages Bordeaux and the Bordeaux profiles, etc., without each team seeing or modifying the other offices’ profiles. Only the organization administrators have full access.


This works the same way if, for example, you have divided your "Companies" on the Dashboard by Business Unit.



Invite the member(s) you want to grant rights to


Before granting rights, you must invite the member(s) to join the organization.

Create your teams


To avoid applying the same rights to multiple members individually, create teams. This will save you time and simplify future management, as you will only need to modify the members of the teams without changing the rights settings you’ve already applied.


  • Go to the Dashboard as an administrator
  • Click at the bottom left on your email or your Organization’s Name
  • Click on “Organization Settings”
  • Go to the “Team” tab



  • Create a new team, for example “Admin Paris” and then assign each member to the correct team



Grant rights on a company and all profiles linked to that company


Once your teams are created, go to the company on which you want to manage rights.


  • Go to the Companies tab on the Dashboard
  • Edit the company in question
  • Then go to “Rights Management”



  • Click on “Add a team” to add a team, or “Add a user” to add a specific organization member
  • Grant the rights you want this member or team to have.


If you want these rights to apply automatically on the profiles linked to this company, don’t forget to check “Apply to profiles”.


In the example below, the “Admin Paris” team can read and edit the “Paris” Company and all profiles linked to that company.




Grant rights on a specific profile


Here’s another example: Véronique Martinez is Lou Dupont’s executive assistant. Lou does not want to manage her own profile, she wants her assistant to take care of it.

  • Véronique must be invited to join the organization, even if she doesn’t have a VKARD.
  • Then Véronique must be made the Owner of Lou’s profile. She will then have the rights to edit Lou’s profile and only that profile.


By default, profiles have a default owner who is one of the administrators. Regardless of which admin is set as “owner”, admins can do everything.


  • Setting Véronique as owner is equivalent to giving her “Read”, “Edit” and “Delete” rights on the profile in “Rights Management,” but it’s faster to assign her as “Owner”.



You can see that Lou is the “holder” of her profile. This allows her to activate “contact exchanges” on her VKARD and to receive her leads.
