How to Launch an Email Signature Campaign?

Campaigns allow you to add a banner below your email signature.

This banner can be updated over time depending on promotions or events, even on emails that have already been sent!

The banner image will update automatically based on the active campaign, without needing to reinstall your email signature.

🧩 Step 1: Create a signature template

Before launching a campaign, you first need to design a signature template that will be used by your collaborators.

🎯 Step 2: Create a default campaign

  1. Go to the Campaigns section.
  2. Click + New Campaign.

This campaign will be the default banner displayed if no higher-priority campaigns are active.

  • Campaign Name: e.g., Default Campaign.
  • Description: add a few lines describing the campaign, e.g., Default Campaign - 2026 version
  • Target URL: set the URL where people will be redirected if they click the banner
  • Active Period: leave both start and end dates empty so the campaign is always active
  • Priority Order: set to 1 (lowest priority)

πŸ–ΌοΈ Add the banner

Once the campaign is created, you will be asked to upload an image. This is the banner.

We recommend an image size of 600x200 pixels.

πŸ”— Assignment

Like for the signature template, you can assign the campaign you just created to:

  • Everyone (all signature templates)
  • Specific profiles
  • Specific teams
  • Specific companies
  • Specific signature templates

If you want this campaign to be the same for everyone, leave the default setting as "Everyone".

🎯 Step 3: Create a campaign for an event, promotion, or other

As you can imagine, you can create additional campaigns for specific events.

For example, let's say it’s May 1st.

You have a trade show (Vivatech) from June 1 to June 15 and want to promote it starting May 15 on your email signatures, but only for your Sales teams.

βž• Create a new campaign

  1. Go to the Campaigns section.
  2. Click + New Campaign.

  • Campaign Name: e.g., Vivatech.
  • Description: e.g., Vivatech Trade Show - Sales Team
  • Target URL: set the URL where people will be redirected if they click the banner
  • Active Period: Start Date: May 15 / End Date: June 15
  • Priority Order: set to 2 (higher priority than the default campaign)

πŸ”— Assignment

In the assignment settings, change "Everyone" to "Specific teams" and select the team you want to assign this banner to.

πŸš€ My Campaigns

In the Signature Campaigns tab, you will find all the campaigns you have created and see which are active or not.

In our previous example, the "Vivatech" campaign is not yet active.

  • Starting May 15, the Vivatech campaign will become active
  • Due to its higher priority, it will override the default campaign
  • It will only be active for those assigned to this new campaign, i.e., the Sales team in our example
  • From June 15, the campaign will automatically become inactive, and the default campaign, still active, will take over again for the Sales team

🧠 Things to know

  • You can create as many templates and campaigns as needed.
  • Test your signatures before launching a large-scale campaign.
  • Multiple campaigns can be scheduled in advance to activate automatically based on defined dates.

Note: Some email tools cache images for 48/72 hours. You may only see the new banner after this delay.

πŸ§‘β€πŸ’» Step 4: Invite collaborators

It is essential to invite each collaborator to join the VKARD Dashboard as the "holder" of their profile.

This allows them to view their profile on the Dashboard, retrieve leads, and finally install their email signature!

Once collaborators are invited, share with them the tutorial on how to install the signature, available here
