How to Create a Signature Template?

Email signature templates on VKARD allow you to standardize and centralize your company's email signatures.


The main advantage of the VKARD email signature is that it is linked to your VKARD profile. This way, from your email signature, the recipient can easily save your contact!


In this article, we explain step by step how to create, customize, and apply an email signature template.



What are signature templates for?


A signature template is a common structure that can be applied:

  • to all employees,
  • to a specific team,
  • or to a particular department (Sales, Support, HR, etc.).


Each user keeps their personal information (name, position, phone number…), but the appearance and displayed elements are standardized.


🧑‍💻 Step 1: Create a signature template


Access signature templates


  1. Log in to your VKARD Dashboard
  2. In the sidebar menu, click Email Signatures
  3. Select the Templates section


You will see the list of existing templates.

To create a new one, click New Template.



Create a new template


When creating a template, give it a clear name (e.g., Sales Signature, Support Signature, Management Signature)


This name will help you easily identify the template when assigning it.


Once created, click on the template to access its settings.



Customize the signature appearance


The Customization section allows you to adapt the signature design to your brand identity.



You can define:

  • Primary color
  • Secondary color
  • Font
  • Overall size of the signature
  • Whether to display the profile picture
  • Whether to display the company logo (note: the logo must be uploaded in the company section under "Logo")


These settings are applied automatically to all users using this template. Each user then just needs to install the signature (see Step 4)



Information displayed in the signature


You can also choose exactly which information appears in the signature:


  • Job title
  • Department or team
  • Phone number
  • Email address
  • Postal address
  • Website


Each element can be enabled or disabled with a single click.




You can add a link to the collaborator's VKARD digital card.


  • Enable the Show profile link option
  • Customize the link text

(e.g., “View my VKARD”)


This link allows your recipients to easily access the full contact information.



Manage displayed social networks


You can select which social networks are visible in the signature:


  • Choose which networks to display (LinkedIn, Instagram, Facebook, etc.)
  • Define whether they come from the user profile, company, or both!
  • Reorder the display order by drag-and-drop
  • Remove a network at any time


Only networks actually provided in the user or company profile will be displayed.



Preview the signature


A real-time preview is available on the side of the screen.


You can also use the “View as” option to see the signature as it will appear for different user profiles.


This allows you to validate the final look before deployment.



Assign the template to users


Once the signature is configured, go to the Assignment tab.


You can apply the template:

  • to all users,
  • to a specific company,
  • to a specific team,
  • or to a particular department.


Then click Save to confirm the assignment.



Save your changes


Remember to click Save after each modification so your changes are properly applied.


Best practices


  • If you want a single template, regardless of team or company, leave the assignment set to "everyone".
  • Use Campaigns to add banners below your signature template (events, promotions, important announcements)

It is essential to invite each collaborator to join the VKARD Dashboard as the "holder" of their profile.


This will allow them to view their profile on the Dashboard, retrieve leads, and finally install their email signature!
